What is an AI agent?

An AI agent is software that uses a language model to carry out a task on its own, in several steps: it reads incoming information, decides what to do, uses tools such as your CRM, email or a database, and hands back a result – or asks a person when it is unsure. Unlike a chatbot, an agent does not just answer, it does work. Typical examples in small businesses are sorting and answering enquiries, extracting data from documents, keeping records up to date and preparing research. Not every process is a good fit: an agent pays off where work is repetitive, follows recognisable rules and still takes up hours every week. Where mistakes are expensive, a person stays in the loop.

  • A clear order of steps

Implementation

  • Automating documents, customer communication and internal workflows

Is this for you?

A good fit – and when it isn't.

A good fit if …

  • Your team spends hours every week on the same routine tasks
  • Information has to be copied by hand between emails, documents and tools
  • You want to use AI for a clear purpose rather than for experiments

Not the right fit if …

  • You are looking for a ready-made product you can switch on today
  • The process is different every time and depends on individual judgement

FAQ

Questions that come up a lot.

What happens to my data?

That is settled before anything is built: which data goes to which AI provider, where it is processed and what is stored. Where personal data is involved, providers and settings are chosen with the GDPR in mind.

Do I need new software?

Usually not. The agent is connected to the tools you already use – CRM, email, ERP or spreadsheets – instead of replacing them.

What if the agent makes a mistake?

Agents get checkpoints: steps where the result is uncertain or the consequences are large go to a person for approval first. Every run is logged, so you can see what the agent did and why.

Which AI models do you use?

Whichever fits the task, for example models from Anthropic or OpenAI. The choice depends on quality, cost and data protection and can be changed later.

What does an AI agent cost?

It depends on the process and the number of connected tools, plus the ongoing usage costs of the AI model. After the first call you get a concrete quote and an estimate of the running costs.
